7.1.1 How new countries are chosen to join the GoTeach program
7.1.1.1 The proposals of which new countries to include in GoTeach program, in the partnership with SOS CV or TFALL, may come from Regional Managers or be requested by partner organizations.
For this it is important to verify the interest and capabilities at the country level, but also at the regional level both with our partners and DHL.
The final approval or go-ahead is finally given by the GoTeach Global Team (GoTeach Head).
7.1.1.1 Steps to include a new country in the GoTeach program
Based on the expansion experience in the Americas region.
- There are general calls with representatives of potential new GoTeach countries to explain more about:
- The partner organization (either DHL, SOS CV or TfAll) and its strategy within which the program is framed
- The GoTeach program (overview, main focus, target group, history, scope and examples of activities)
- Space to clear doubts and queries
- Next steps Presentations attached
- Approach to the Country Managers of the different BUs of a country by GHO through a letter signed and sent by the Vice President of Corporate Citizenship. This letter introduces the GoTeach program, a bit of its history and main achievements, to finally invite them to join. Letter attached On the other side, SOS CV / TfAll also carry out a confirmation process with their local organizations.
- Once confirmations are received (from DHL and GoTeach partner) an introductory email is sent to both parties, including those responsible from SOS CV / TfAll and potential GoTeach Ambassadors from DHL. In that email they are invited to have a first call to start coordinating what would be the Kick-Off Event of the new partnership and also some documents are shared:
- National Agreement (2018 -2020) - will be signed by both parties at the Kick-off Event
- Go Teach Information Booklet - with information of the partnership and activities proposed to work in this first year
- Informative Doc for the Kick-off Event - contains a model agenda and recommendations for the event Documents attached
*It is important to emphasize that for DHL this is done with the BUs that confirmed their interest and participation. If any of them indicated that they would not participate at the moment, there is no problem, we can start anyway and later (next year) the invitation will be made again.
7.1.1.1 Kick-Off Event
- What is it? Event to formally start the GoTeach program in the country and to sign the National Agreement between both organizations.
- Objectives:
- Know the activity and trajectory of DHL (its different BU) and SOS Children's Villages/Teach for All in the country. Formal introduction of the GoTeach partnership and aspects related to the National Agreement.
- Prepare a proposal for an Activity Plan within the framework of the GoTeach Program, which responds to the demands and training needs previously identified with the young people participating in the SOS Children's Villages/Teach for All Programs.
- Duration: 1 day and a half or 2 days
- Agenda: We recommend that the agenda include spaces like visits to DHL facilities to better understand DHL operations, as well as schedule a visit to the SOS Children's Villages facilities or a school with which the Teach for All network works, to understand the impact they have these organizations in the community. Also it’s important have informal spaces that help build a trustful relationship from the beginning. (could be dinners or lunches between teams)
- Participants:
- DHL Country Manager of each BU SMTs of the participating BUs GoTeach Regional Team Final responsible for the partnership in each BU (GoTeach Ambassadors) *CSR Committee *Potential GoTeach volunteers
- If the partner is SOS CV National Directors Director of Fundraising and Communications Coordinators of Corporate Partnerships Youth Program Development Coordinators (or YouthCan! Coordinator) Young participants Youth Chaperones/Facilitators (consider if their SOS caregivers and/or their families of origin are invited) *Parents of young participants
- If the partner is Teach for All CEO Other members of the staff TfAll fellows Potential students who would participate in the program
- Externals Press Other partner organizations Government representatives
- DHL Country Manager of each BU SMTs of the participating BUs GoTeach Regional Team Final responsible for the partnership in each BU (GoTeach Ambassadors) *CSR Committee *Potential GoTeach volunteers
- Synergies of Fund Development and Communications – DHL for Kick-Off event: Within the preparation of the event it is suggested to potentiate the joint work between the area of Fund Development and Communications and DHL by means of the following actions that can generate a greater coverage and dissemination of the event:
- Management of press and/or communications allies that allow us to have a wide diffusion of the event both in physical and in digital channels.
- Development of joint pieces at the communications level, for the diffusion in these media (in this aspect we can count on the support of the communications area).
- Dissemination by digital media of the two organizations, enhancing dissemination through these tools. (You can count on the support of the digital area, should analyze dissemination spaces such as Facebook Live, Instagram, Twitter, through which the event is disseminated).
- We recommend that countries can hire a professional photographer who can cover the event and get the right material for press releases. This person must know the policies of our partners for the protection of children and / or youth, it is important to have all the authorizations and permissions to take the photographs.
Documents attached:
- Kick-Off agenda templates with each of the partners
- Example of Press release
- Presentation formats during Kick-Off
7.1.1.2 After the Kick-Off:
Once the Kick-Off event and the workshop with young people conclude, we ask new GoTeach countries to:
- Share a copy of the National Agreement signed.
- Submit any audiovisual material of the Kick-Off event they may have.
- Charge Kick-Off event expenses following the corresponding procedure.
- Present the activity planning for the year in the corresponding format and include the estimated budget.
After this, they will continue the same procedure as any regular GoTeach country, including the execution of activities, evaluation and reporting.
