7.1.1 How new countries are chosen to join the GoTeach program
7.1.1.1 Regional managers can suggest that new countries be included in the GoTeach program/partnership with SOS CV or TFA. Partner organizations can also submit requests.
It is important to confirm interest and capabilities not only at the country level but also at the regional level - both on the part of our partners and within DHL Group.
The final approval or green light is given by the GoTeach Global Team (GoTeach Head).
7.1.1.1 Process of including a new country into the GoTeach program
Based on experiences in the Americas region:
- General calls are held with representatives from potential new GoTeach countries. This provides a forum to discuss the following:
- The partner organization (either DHL, SOS CV or TFA) and its strategy within the context of the program
- The GoTeach program (overview, main focus, target group, history, scope and examples of activities)
- Doubts and queries in need of clarification
- Next steps
- Country Managers from the different BUs are contacted by letter, signed by the Vice President of Corporate Citizenship. This letter introduces the GoTeach program, outlines the initiative's history and main achievements, and invites the CM to become part of the program. SOS CV / TFA also carry out a confirmation process with their local organizations.
- Once confirmation has been received (from DHL and GoTeach partner), an introductory e-mail is sent to both parties, including those responsible from SOS CV / TFA and potential GoTeach Ambassadors from DHL.The e-mail invites them to an onboarding call to help coordinate a kick-off event for the new partnership and provide them with the following documentation:
- National Agreement (2018 -2020) - to be signed by both parties at the kick-off event
- GoTeach Information Booklet - with information about the partnership and potential activities proposed for the first year
- Information document for the kick-off event - contains a model agenda and recommendations for the event
In the event that BUs are interested in the program but feel the timing is not quite right, they can be invited again the follwoing year.
7.1.1.1 Kick-off event
- What does the kick-off involve? The event, at which the national agreement between both organizations is signed, marks the formal launch of the GoTeach program in the country.
- Objectives:
- Gain insight into DHL's activities and objectives (incl. different BUs) and those of SOS Children's Villages / Teach For All in the country. Formal introduction of the GoTeach partnership and aspects related to the national agreement.
- Prepare a proposal for an activity plan within the framework of the GoTeach program, responding to the demands and training needs previously identified with the young people participating in the SOS Children's Villages/Teach for All programs.
- Duration: 1.5 - 2 days
- Agenda: We recommend including visits to DHL facilities (for a better understanding of DHL operations) as well a visit to the SOS Children's Villages facilities or a school involved with the Teach for All network in the agenda. This will help participants to understand the impact these organizations have in the community. It’s also important to have space for informal interaction to help build trustful relationships from the outset - dinners or lunches between teams work well, for example.
- Participants:
- DHL Country Manager of each BU, SMTs from the participating BUs, GoTeach regional team, main contact for the partnership in each BU (GoTeach Ambassadors), *CSR Committee, *potential GoTeach volunteers
- If the partner is SOS CV: National Directors, Director of Fundraising and Communications, Coordinators of Corporate Partnerships, Youth Program Development Coordinators (or YouthCan! Coordinator), young participants, youth chaperones/facilitators (consider if their SOS caregivers and/or their families of origin are invited), *parents of young participants
- If the partner is Teach for All: CEO, other members of staff, TFA fellows, potential students who would participate in the program
- GoTeach Global Team members represented by DHL , SOS Children's Villages and Teach For All as well as any Regional Directors, could be invited to attend the kick-off event via a virtual platform such as teams and zoom, which could be set up for the event by the local teams
- Externals: Press, other partner organizations, government representatives
- DHL Country Manager of each BU, SMTs from the participating BUs, GoTeach regional team, main contact for the partnership in each BU (GoTeach Ambassadors), *CSR Committee, *potential GoTeach volunteers
- Fund development and communications/DHL synergies for the kick-off event: When preaparing the event it is advisable to highlight collaboration or cross-over between fund development and communications, and DHL to generate greater coverage and spread the word about the event. The following should be considered:
- Management of press and/or communications allies that could provide us with a wide reach for the event - both over physical and digital channels
- Development of joint communications content for these media (communications support may be available)
- Digital media dissemination of the two organizations. How can digital tools best be utilized? (Digital support may be available for Facebook Live, Instagram, Twitter analysis)
- We recommend that countries hire a professional photographer to cover the event and provide professional content for press releases. This person must be aware of our partners' policies with regard to the protection of children and/or young people. Appropriate authorization and permission must be secured before any photographs are taken
Various support materials are available:
- Kick-off agenda templates with each of the partners
- Sample press release
- Presentation formats for the kick-off event
7.1.1.2 After the kick-off:
After the kick-off event and the workshop with young people, we ask new GoTeach countries to:
- Share a copy of the signed national agreement
- Submit any audiovisual material of the kick-off event they may have
- Charge kick-off event expenses according to respective procedure
- Present activity planning for the year - in the appropriate format and with an estimated budget
After this, the process is the same as for any other GoTeach country vis-à-vis activities, evaluation and reporting.
