9.6 Communication/Media Activity Launch

9.6.1 Media Activity for Launch

9.6.1.1 Materials to be developed:

Below are a selection of the materials to be developed for any external communications events.  All  materials should  be cross-checked with the local partners of SOS Children’s Villages and Teach For All so that they can be run through internal approval processes. Once approvals from partners have been sought, please share the materials with the regional corporate communications team for further review and approval within DPDHL Group:

  • Media invitation – inviting media to participate in and/or cover the event
  • Event timeline – detailing the deadline for deliverables and a timetable for event day
  • Country event press release – release for distribution at /immediately after the event, along with suitable event photos or videos (which can be submitted to broadcast media for use)
  • Backgrounder/ fact sheet/ infographic – providing journalists with some background on GoTeach in your region and additional information on DPDHL’s other corporate citizenship efforts
  • Media briefing book – including details of interviews, journalists, key messages, Q&A, holding statements (if any)
  • Media Q&As – these should NOT be handed out to journalists but serve as a reference for spokespersons to prepare themselves ahead of the event
  • Media coverage report – sharing the media coverage generated from your local media activities


9.6.1.2 Ahead of the media launch:
  • Media invitations should be disseminated to the list of target media at least two weeks before the event. The invitation should be extended to media to encourage them to participate in and/or cover the event.
  • Press kit – This folder of key documents relevant to the media launch will need to be compiled ahead of the event. Ensure you review the list of documents that need to go into the media kit, determine how many copies are required based on media confirmation, and print out final versions of all documents accordingly (with no additional edits).
    1. Country press release: This is what the media will refer to when reporting on your launch event. Note that tour final version of the press release needs to be sent to Regional Corporate Comms for approval one week in advance of your event. 
    2. Backgrounders & fact sheets: Provide details that are relevant to GoTeach (Global / Regional), which, due to space constraints, are not included in the media release.
    3. Spokesperson biography(ies): The professional and educational credentials of spokespersons should be included in the media kit. Do also share this with your Regional Corporate Comms contact in advance.


9.6.1.3 Handling media on-site:

If you have invited journalists to your event, do note the following:

  • Pre-brief DPDHL/DHL spokesperson and employees – nothing said is ever ‘off-the-record’, so it’s key that staff are also mindful of what is said to journalists. Please refer to section 8.3 above for Dos & Don’ts
  • Schedule interview for 1 or 2 important media with DPDHL/DHL spokesperson together with partner representative if possible  before or after the media launch.
  • Provide attending media with a press kit (e.g. sample documents listed above)  
  • Prepare a small gift bag for media – it can be as simple as giving them a GoTeach t-shirt that you have produced for your staff (please note that t-shirt designs are available in the GoTeach Media Kit found on myNet)


9.6.1.1 Submit a media coverage report:

  • This should be sent to your Regional Office Corporate Communications colleague the day after the launch – usually this is when most coverage will appear in the news.
  • A final report may be sent through 10 days after if more coverage has appeared.
  • The report should contain a list of articles that have appeared, indicating the newspaper/ publication name, date, headline and/or URL link.
  • Where possible please include a scanned version of the hard copy article.
